POSITION SUMMARY: Coordinates daily operation of diabetes program and outpatient clinic. Duties include: scheduling of staff, classes and outpatient appointments; registering patients; creating, maintaining and updating data bases and files. Maintains control of mailings, correspondence, inventory, patient records, and billing. Assists in the marketing, promotion and publicity of services, products and program materials.

Associates degree in business or related field; or a combination of education and directly related work experience.
Two (2) years as an operational coordinator and/or related experience preferred. Computer experience is required using database management and word-processing in Microsoft Office 97 (Word, Excel, etc).

ACCOUNTABILITIES AND ESSENTIAL JOB FUNCTIONS
Meets deadlines such as completing statistical reports, registering clients quickly into system, preparing and distributing class materials at assigned times, demonstrating initiative and independence in completing tasks.
Serves effectively as a central point liaison for patients, other departments, physician offices and other health agencies in the resolution of a variety of day-to-day matters.
Performs patient check-in and appointment preparation (greets patient, reviews and completes paperwork with patient, takes patient's blood pressure and weight, and informs dietitian of patient arrival). Schedules patient follow-up as required and enters patient charges.
Coordinates and manages the schedule for the diabetes program, outpatient appointments, staff, special events and meetings. Informs staff and other departments such as Registration of any changes, cancellations and or additional appointments affecting the current or succeeding week. Screen and assign patients to the proper class and/or schedule appointments with the appropriate dietitian.
Types all documents by deadline; they are proofread until error-free.
Ensures completeness, accuracy and timely delivery of promotional materials and other publicity for the center's services, products, events, such as brochures and flyers; assists in marketing the benefits of our services, classes, and products to appropriate parties.
Schedules education classes, orders supplies, assembles class materials, assists in classroom setup.
Ensures clinic and related areas are functional, clean and presentable. Ensures all office equipment is operational.
Maintains up-to-date control of incoming and outgoing correspondence, files, inventory, educational materials, patient records, billing, policies and procedures, and data management systems.
Ensures completeness and accuracy of documentation and records for programs and services and in meeting the standards required by any accrediting body.
Perform other duties as assigned.
